LitiSync, Inc. Recording & Intake Consent Notice

This Recording & Intake Consent Notice explains how audio recordings, transcripts, and intake information may be collected and used when participating in intake sessions conducted through the LitiSync platform (the “Service”) on behalf of a participating law firm (the “Law Firm”).

1. Purpose of Intake Recording

Intake sessions conducted through the Service may be recorded and transcribed to assist participating attorneys and law firms in collecting, organizing, reviewing, and documenting intake information related to potential or existing legal matters.

Recordings and transcripts are used solely for intake, case organization, documentation, workflow automation, and related legal support purposes under the direction of the participating Law Firm.

LitiSync acts as a technology service provider and does not provide legal advice.

2. Consent to Recording and Transcription

By participating in an intake call, interview, or recorded communication conducted through the Service, you acknowledge and consent to the recording and transcription of the session to the extent permitted by applicable law.

You understand that:

  • Recording laws may vary by jurisdiction;
  • The participating Law Firm is responsible for ensuring compliance with applicable consent requirements; and
  • If you do not consent to recording where required, you should discontinue participation and contact the Law Firm directly.

3. Intended Confidentiality and Privilege Context

Where the Service is used in connection with legal representation, intake communications may be intended to support confidential communications and attorney-client privilege to the extent applicable under law.

LitiSync cannot guarantee that privilege applies in any particular instance. To help preserve confidentiality, you should participate from a private location and avoid the presence of unauthorized third parties during the session.

4. Use of Intake Information

Information collected during intake sessions, including recordings, transcripts, and submitted materials, is processed on behalf of the participating Law Firm and may be:

  • Reviewed by attorneys and authorized staff;
  • Used to generate intake summaries, chronologies, or organizational materials;
  • Stored as part of the firm’s case records;
  • Shared with authorized parties involved in the legal matter as permitted by the Law Firm and applicable law.

The Law Firm remains solely responsible for determining how intake information is used in connection with legal representation.

5. Confidentiality and Safeguards

Intake recordings, transcripts, and related information are treated as confidential information and processed using administrative, technical, and organizational safeguards designed to reduce the risk of unauthorized access, disclosure, or alteration.

No system can be guaranteed to be completely secure.

6. Retention

Intake recordings and transcripts are retained in accordance with:

  • Retention settings established by the participating Law Firm;
  • Contractual agreements;
  • Applicable legal or regulatory obligations; and
  • Operational and security requirements.

Questions regarding retention policies for a specific matter should be directed to the participating Law Firm.

7. Changes to This Notice

LitiSync may modify this Recording & Intake Consent Notice from time to time to reflect updates to the Service, legal requirements, or operational practices. Unless otherwise required by applicable law, updates become effective upon posting the revised notice. Continued participation in the Service after the effective date constitutes acknowledgment of the updated notice.
